# Workflow Documents

Design invoices, packing slips, product sheets and your own documents in HTML and Liquid, and generate PDFs for orders, products or customers from Shopify Flow.

## From a template to a PDF in your workflow

1. **Pick a starter or start blank** - Invoice, packing slip, product data sheet or an empty page. Every starter is plain HTML, CSS and Liquid you can change line by line, next to a live preview of a real order, product or customer from your store.
2. **Add the Flow action** - Put "Generate document" into any Shopify Flow workflow and name the template. The PDF is created when the workflow runs: on a new order, a fulfillment, a tag, a schedule.
3. **Use the link** - The workflow receives a download link valid for 7 days. Email it, attach it, post it to your warehouse system or store it on the order.

## Documents your store produces by itself

No designer tool with locked layouts: a template is HTML, CSS and Liquid, so it can look exactly like your brand and contain exactly the data you need.

- **HTML, CSS and Liquid** - Write the template the way you write a theme section. Liquid loops, conditions and filters, your fonts, your colours. If the browser can render it, the PDF can show it.
- **Orders, products and customers** - A template renders one resource: order data with line items, totals, taxes and addresses; a product with variants and metafields; a customer with their details. Sample data is built in.
- **Starter templates** - Invoice, packing slip and product data sheet ship ready to use. Duplicate one, change the header, add your terms, done.
- **Shopify Flow action** - "Generate document" runs inside Shopify Flow. Pass the order, product or customer from the trigger, name the template, and connect any action to the resulting link.
- **Paper sizes and margins** - A4, A5, A6, Letter and Legal, portrait or landscape, margins in millimetres. Page breaks and headers that repeat on every page are plain CSS.
- **Live preview in the admin** - Every change renders immediately against a real record from your store, as HTML and as the final PDF. No test workflow needed to see the result.
- **History and downloads** - Every generated document is listed with its order, template and status. Download it again from the admin while your plan keeps it in storage.
- **Developer API and MCP** - Create templates and generate documents from your own code or from an AI agent over MCP. The same capabilities as the admin, scoped to your store with a key you create.

The same syntax you know from Shopify themes, with `money` and `percent` filters, strict output escaping and the full data of the record the workflow passed in.

## Questions

**When can I install it?**

Workflow Documents is in the final stretch before its App Store release. Leave your email with us and you will hear about the launch first. A free plan will be included from day one.

**Do I need to know HTML?**

To change colours, a logo or a footer text, no: the starters are commented and the preview shows every change. To build a layout from scratch, basic HTML and CSS knowledge helps, and Liquid works like in your theme.

**Which data can a template use?**

The full order (customer, addresses, line items, discounts, taxes, totals, metafields), the product with its variants and metafields, or the customer with their details. The variables panel in the editor lists everything with a sample value.

**How does the PDF reach my customer or my team?**

The Shopify Flow action returns a download link that is valid for 7 days. Your workflow decides what happens with it: send it with Workflow Transactional Email, post it to a webhook, add it to an order note or hand it to your ERP.

**Where are the documents stored?**

On Google Cloud in Belgium (EU). A PDF stays in storage for the retention period of your plan, then it is deleted while the history row stays. Links are signed and expire, nothing is public.

**Is it GDPR-compliant?**

Yes. Documents and order data contain personal data of your customers, so they are stored encrypted in the EU, deleted on Shopify's redaction requests, and never leave the infrastructure. A data processing agreement is available.

**Can I generate documents without Shopify Flow?**

Yes. The admin generates a document from any order, product or customer by hand, and the Developer API and MCP server generate them from your own code or an AI agent.

**What does it cost?**

A free plan with a monthly document allowance, and paid plans with larger allowances and longer storage. The exact prices are published with the release on the App Store listing.
